How does Book a desk allow social distancing in the return to the office?

Book a desk has integrated the 1,5 meter distance rule, desk-to employee ratio, and diagonal setting to avoid any critical interaction and prevent the spread any infection from happening

How do we return to the office after the COVID-19 crisis?

This “new normal” requires new ways of working. To ensure a safe return to the office, several aspects have to be considered.

  1. Manage the workplace density

    Before calling people back to work you have to take into account the number of staff involved and compare it to the number of desks available considering the desk-person ratio.



  2. Create clean workstations with a strict sanitization plan

    Keeping a clean work environment should be a top priority. To do so it is necessary to organize frequent desk cleaning hours, make disinfectant wipes, hand sanitizers and masks available, and enforce common hygiene best practices.



  3. Put in place a floor signage and circulation map

    Consistent best practices and the forming of new habits can only be developed through a good and clear communication strategy. Clearly mark safe spaces, close the ones which are not, indicate walking direction flow and available desks.

What are the established sanitization and cleaning procedures to ensure the cleanliness of my working station?

A strict sanitization schedule should be put in place in your workplace after each rotation to reduce the risks of employees contracting the virus. The specific measures and procedures will be shared through email communication and will be made available at the entrance of each office floor.

What is the recommended desk-to-employee ratio?

Measures are put in place to follow the government defined guidelines to ensure the distance of 1,5m in between workers and colleagues at their desks. If a desk can fit four employees face-to face, only two diagonal workstations can be allowed.

Desk Booking

I have booked a desk, but I’m running late. What should I do?

If you are running late, you may extend your check-in time via the extend button in the web application. This allows you 15 minutes of extra time to get to your booked place. Please note that you may only do this once per booking.

I want to take a break. What should I do?

Use the session pause button in the web application. Please note that you can take a maximum of 60 minutes break. If you fail to return on time, your booking will be cancelled. Therefore, don't forget to check in again via the web application upon your return.

I can’t scan the QR code to check in. What should I do?

There is a number under the QR code. You can enter this number manually at the bottom of the page instead of scanning the QR code.

May I still amend my upcoming booking after receiving the confirmation email?

Unfortunately not (yet). If your booking has already been confirmed, but you still wish to change something, then you can cancel the upcoming booking and create a new one.

Are there minimum or maximum periods to book a desk?

Until further notice, it will only be possible to book a desk for a full day.

How can I book a group work place?

You can filter your search results for group work places. At the top of the search results page, you can indicate the number of people you wish to reserve a study space for. This will update your search results, which will now show the available group work places.
